Terms of Use

Effective Date: September 8, 2026

Welcome to The Scouting Exchange.

These Terms of Use govern your access to and use of The Scouting Exchange website, application, and related services. By creating an account or using the service, you agree to these Terms.

1.Purpose of The Scouting Exchange

The Scouting Exchange is a planning and collaboration platform designed to help adult Scouting volunteers and families organize meetings, manage planning information, discover activities, and share ideas with other members of the Scouting community.

The platform is intended to make planning easier. It does not replace the judgment and responsibilities of adult leaders.

2.Adult Accounts

You must be at least 18 years old to create or independently use an account on The Scouting Exchange.

Accounts are intended for adult leaders, volunteers, parents, guardians, and other authorized adults. Scouts and other minors should not create their own accounts.

You are responsible for providing accurate account information and for protecting your login credentials. You are also responsible for activity that occurs through your account.

3.Developing Features

The Scouting Exchange may offer features that are still in development.

These features may change, be added, be removed, or occasionally fail to work as expected. We may make changes to the service as we learn what works best for the Scouting community.

We appreciate feedback, but submitting an idea or suggestion does not create an obligation for us to implement it or compensate you for it.

4.Scouting Requirements and Official Guidance

The Scouting Exchange is a planning aid. It is not a substitute for current official Scouting America publications, policies, training, or safety guidance.

Although the platform may display adventure requirements, planning information, and other Scouting-related material, users are responsible for confirming current requirements and policies through official sources when necessary.

Leaders remain responsible for following applicable Youth Protection policies, the Guide to Safe Scouting, age-appropriate activity guidance, council or unit rules, facility requirements, and other policies applicable to their activities.

If information in The Scouting Exchange conflicts with current official guidance, the official guidance controls.

5.Activities Shared by the Community

One of the purposes of The Scouting Exchange is to allow leaders to share activities that have worked for them.

Community-submitted activities are ideas from individual users. Unless specifically identified otherwise, they are not reviewed, approved, or endorsed by Scouting America.

An activity that worked well for one den may not be appropriate for another. Leaders are responsible for evaluating activities based on the age and abilities of their Scouts, available supervision, location, equipment, weather, allergies, accessibility needs, safety considerations, and current Scouting policies.

6.Information About Scouts

Adult users may enter information about Scouts when necessary to use planning, roster, progress, meeting, or family features.

By entering information about a Scout or family member, you represent that you have an appropriate reason and authority to provide and use that information in connection with the Scouting program.

Do not use The Scouting Exchange to store confidential medical records, detailed behavioral or disciplinary records, educational records, or other highly sensitive information unrelated to the platform's planning functions.

Do not publish identifying information about Scouts or families through public Exchange content.

7.Your Content

You retain ownership of original content you create and submit to The Scouting Exchange.

For private content, such as den plans and notes, you give The Scouting Exchange the limited permission necessary to store, process, display, and otherwise handle that content so we can provide the service to you.

When you intentionally publish an activity or other contribution to the Exchange, you are choosing to share it with the Scouting community. You grant The Scouting Exchange a non-exclusive, worldwide, royalty-free license to host, reproduce, format, display, distribute, and otherwise use that content as necessary to operate and promote the Exchange.

You also permit other users to view, save, use, and adapt published Exchange content for their own non-commercial Scouting-related planning and activities.

Publishing something to the Exchange does not transfer ownership of your original work to us, and it does not give another user permission to take your work and sell or commercially repackage it.

If you later remove shared content, we will stop making it available where reasonably practical. Removal may not eliminate copies already incorporated into another user's meeting plan, printed materials, backups, or similar previously created materials.

8.Content You Submit Must Be Yours to Share

You may only submit content that you created or that you otherwise have permission to share.

Do not upload or republish copyrighted worksheets, books, photographs, graphics, paid curriculum, proprietary materials, or other content belonging to someone else unless you have the right to do so.

You remain responsible for the content you submit.

If you believe content on The Scouting Exchange infringes your rights, contact us at hello@thescoutingexchange.com.

9.Acceptable Use

The Scouting Exchange exists to support a helpful Scouting community.

You may not use the service to harass or threaten others; post obscene, hateful, exploitative, deceptive, or otherwise inappropriate material; expose private information about Scouts, children, families, or other users; advertise unrelated products or services; post spam, affiliate promotions, sales solicitations, or repetitive promotional material; impersonate another person or organization; attempt to gain unauthorized access to accounts or systems; introduce malicious code or interfere with operation of the service; scrape or harvest user information; or use the service for unlawful purposes.

Reasonable references to supplies, resources, vendors, or materials needed to perform an activity are not considered prohibited commercial solicitation simply because a product must be purchased.

10.Moderation

We may review content when necessary to operate the service, investigate reports, enforce these Terms, protect users, or maintain the quality and safety of the Exchange.

We may remove content, limit its visibility, restrict features, suspend accounts, or terminate accounts when we reasonably believe these Terms have been violated or when action is necessary to protect the service or its users.

We are not obligated to pre-screen every activity or contribution before it appears on the platform.

11.Intellectual Property

The Scouting Exchange website, application, software, branding, design, and original platform content are owned by or licensed to The Scouting Exchange and may not be copied or commercially exploited without permission.

Names, logos, program materials, adventure names, trademarks, and other intellectual property belonging to Scouting America or other organizations remain the property of their respective owners.

12.Independent Service

The Scouting Exchange is an independent platform and is not operated by, sponsored by, endorsed by, or affiliated with Scouting America.

References to Scouting America programs, ranks, adventures, terminology, or resources are provided to support users in planning their Scouting programs.

13.Third-Party Services and Links

The service may include links to third-party websites or rely on third-party technology providers.

We are not responsible for the content, availability, policies, or practices of third-party services. Your use of those services may also be subject to their own terms and privacy policies.

14.Availability of the Service

We work to keep The Scouting Exchange available and reliable, but we cannot guarantee uninterrupted or error-free access.

We may modify, suspend, discontinue, or restrict portions of the service when reasonably necessary for maintenance, security, legal compliance, product development, or other operational reasons.

15.Disclaimer of Warranties

To the fullest extent permitted by law, The Scouting Exchange is provided "as is" and "as available."

We do not guarantee that every activity, requirement, recommendation, user contribution, or other piece of information will be complete, current, error-free, safe for every situation, or appropriate for every Scout or unit.

Users remain responsible for their own planning decisions, supervision, safety practices, and compliance with official requirements and policies.

16.Limitation of Liability

To the fullest extent permitted by law, The Scouting Exchange and its operators will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of the service, including loss of data, loss of opportunity, or claims arising from activities planned or conducted using information found through the service.

To the fullest extent permitted by law, our total liability for claims relating to the service will not exceed the greater of the amount you paid directly to us for use of the service during the 12 months preceding the claim or $100.

Nothing in these Terms limits liability where it cannot legally be limited.

17.Suspension or Termination

You may stop using The Scouting Exchange at any time.

We may suspend or terminate access when necessary because of a violation of these Terms, misuse of the service, security concerns, legal requirements, or conduct that creates unreasonable risk to The Scouting Exchange or its users.

Provisions that reasonably need to continue after an account ends—including intellectual property rights, previously granted content permissions, disclaimers, and limitations of liability—will survive termination.

18.Changes to These Terms

The Scouting Exchange will continue to evolve.

We may update these Terms as the service changes. When we make material changes, we will update the effective date and provide additional notice when appropriate.

Continued use of the service after updated Terms become effective constitutes acceptance of the revised Terms.

19.Governing Law

These Terms are governed by the laws of the State of Nebraska, without regard to conflict-of-law principles, except where applicable law requires otherwise.
