Privacy Policy

Effective Date: September 8, 2026

The Scouting Exchange is a planning and collaboration platform built to help adult Scouting leaders, volunteers, and parents plan meetings, organize their dens, and share ideas with one another.

This Privacy Policy explains what information we collect, how we use it, and the choices you have when using The Scouting Exchange.

1.Who The Scouting Exchange Is For

The Scouting Exchange is intended for adults age 18 and older. Children do not create or manage accounts on the platform.

Adult users may provide limited information about Scouts in order to manage a den, track progress, prepare meetings, or coordinate assignments. That information is provided and managed by the adult user, not collected directly from the Scout.

We do not knowingly allow children under 13 to create accounts or provide personal information directly to The Scouting Exchange. If you believe a child has provided personal information directly to us, please contact us so we can take appropriate action.

2.Information We Collect

When you use The Scouting Exchange, we may collect information you provide when creating or using your account, such as your name, email address, Scouting role, and information about your council, pack, den, or family connection.

Adult users may also enter information needed to manage their Scouting program, including Scout names, roster information, advancement or requirement progress, meeting participation, at-home assignments, and similar planning information.

We collect content you create through the service, such as meeting plans, activities, instructions, preparation notes, comments, feedback, and other information you choose to submit.

We may also automatically receive basic technical information needed to operate and secure the service, such as IP address, browser or device information, authentication and session information, timestamps, and application or security logs.

If you contact us for help, provide product feedback, or otherwise communicate with us, we may retain those communications.

3.How We Use Information

We use information to provide and maintain The Scouting Exchange; authenticate users and manage accounts; connect authorized users with their dens and families; create and manage meeting plans, activities, assignments, and progress; provide features based on a user's role; communicate about the service; respond to support requests and feedback; identify technical problems, misuse, or security concerns; improve The Scouting Exchange; and meet legal obligations when required.

We do not sell personal information.

We do not use Scout information for targeted advertising.

4.Scout and Family Information

Information about Scouts deserves particular care.

Scout information entered into a den or family workspace is intended to support Scouting-related planning and should only be accessible to users who have an appropriate connection to that information through the application's permissions.

Adults using The Scouting Exchange are responsible for entering only information they are authorized to provide and that is reasonably necessary for the Scouting purpose involved.

Please do not place Scout names, contact information, medical information, behavioral information, photographs, or other identifying information into activities or other content that you intend to publish publicly through the Exchange.

The Scouting Exchange is a planning tool and should not be used as a repository for confidential medical, educational, disciplinary, or similarly sensitive records.

5.Information Shared With Other Users

Some information is shared as part of the features you choose to use.

For example, information associated with a den may be available to authorized leaders, parents, or guardians according to their role and permissions.

Content that you intentionally publish to the Exchange, such as an activity or idea you choose to share with the Scouting community, may be visible to other users. Do not include private information about Scouts, families, or other individuals in publicly shared content.

Private den planning information is not automatically made public simply because you use The Scouting Exchange.

6.Service Providers

We use third-party service providers to help operate The Scouting Exchange, including services that provide hosting, database infrastructure, account authentication, email delivery, security, and other technical functions.

These providers may process information on our behalf as necessary to perform those services.

We may also disclose information when reasonably necessary to comply with law, respond to valid legal process, protect the security of the service, investigate fraud or misuse, or protect the rights and safety of The Scouting Exchange and its users.

If ownership or operation of The Scouting Exchange changes in the future, information associated with the service may be transferred as part of that transaction, subject to applicable law.

7.Cookies and Similar Technology

The Scouting Exchange may use cookies, local storage, or similar technology to keep you signed in, maintain your session, remember preferences, provide application functionality, and help protect the service.

We do not use Scout information for third-party behavioral advertising.

8.How Long We Keep Information

We retain information for as long as reasonably necessary to provide the service, maintain your account, preserve legitimate operational or security records, and comply with legal obligations.

Information may remain temporarily in backups after it has been deleted from the active service.

Content intentionally shared through the Exchange may also remain in meeting plans or other materials created by users who used that content before it was removed.

9.Your Choices and Privacy Rights

You may update certain information through your account where those controls are available.

You may also contact us to request access to, correction of, or deletion of personal information associated with you. We may need to verify your identity before completing a request, and some information may need to be retained when required for security, legal, or legitimate operational purposes.

Depending on where you live, additional privacy rights may apply.

10.Security

We use reasonable administrative and technical measures designed to protect information from unauthorized access, loss, misuse, or alteration.

No online service can guarantee absolute security, and users are also responsible for protecting their passwords and account access.

If you believe your account or information has been compromised, please contact us promptly.

11.Third-Party Websites

The Scouting Exchange may contain links to Scouting America resources or other third-party websites. Those websites are operated independently and have their own privacy practices. This Privacy Policy applies only to The Scouting Exchange.

12.Changes to This Policy

The Scouting Exchange is continuing to develop, and our privacy practices may evolve as new features are introduced.

If we make material changes to this Privacy Policy, we will update the effective date and provide additional notice when appropriate.
